Equipment Available for Events


 

The following equipment may be used for campus events, however, many items have location and/or other restrictions to its use.  They are outlined below.  All requests for these equipment items should be made through the Conference and Event Services office.

  • Choral Risers
      - Limited to usage in performance areas on campus.  A minimum of four hours set up time required before and after scheduled event time.
       
  • Name Tags
      - These may be produced at a cost to the sponsoring organization.  Also provided with name tags are name tag holders for easy distribution.
       
  • Orchestra Shell
      - Limited to usage in performance areas on campus.  A minimum of four hours set up time required before and after scheduled event time.
       
  • Piano
      - Use of any piano on campus must be approved by the CESO and may also require secondary approval from the Music Department.  The CESO contact will arrange for any necessary approvals.  The Horace Mann grand piano and the Demonstration Room pianos may not be removed from the rooms.  Any other piano moves require piano tuning immediately after each move.  Piano moves and tuning are arranged through the CESO and incur affiliated fees.
       
  • Pipe and Drape
      - Available largely in the Campus Center.  A limited amount of pipe and drape are available for events outside of the Campus Center.  For extensive pipe/drape needs, it may be necessary to hire and outside vendor to provide this service.  The CESO can assist with identifying a vendor and obtaining a price quote.
       
  • Portable Wall
      - These are available in the Campus Center and the Moakley Center.  They are folding walls on wheels designed to provide a separation of space.  Exact location in which walls can be used may be limited by the space and doorway sizes.
       
  • Signs - Interior
      - Directional signs may be placed inside a limited number of buildings on campus.  These include the Campus Center, Moakley Center and the East Campus Commons.  Interior signs are only provided upon request.  Unless specific wording for the signs is provided, they will include the event name, space name, date and arrows directing participants to the event space.  Sign stanchions may only be moved out of their assigned building for the following events: Chairmen’s Dinner, Commencement, HOBA, Honors Dinner, Martin Luther King Jr. Day and the Retirement Dinner.
       
  • Signs - Parking
      - Parking signs are requested through the Conference and Event Services office.  There is a fee for each parking sign. 
       
  • Signs - Sandwich Boards
      - Yellow sandwich board signs can be used for either parking or for information display.  These signs are requested through CESO.  There is a fee for each sandwich board. 
       
  • Signs - Table Top
      - Table top signs of varying sizes are available for use.  The sizes range from 4x5 to 8 ½ x 11.  Signs can be made by the sponsor or by the Conference and Event Services office. If CESO makes the signs, there may be a fee involved for printing costs.  There are standard table number signs available at no cost.  The sponsor is responsible for ensuring that all signs are returned to the CESO.
       
  • Staging
      - Staging is primarily available only for events in the Campus Center.  Stage pieces are generally 6x8 and can be interlocked to expand the staging area.  The East Campus Commons and Crimson Dining Hall can accommodate one 6x8 stage piece.
       
  • Tensa Barriers
      - If your event requires the ability to partition an area or create a queue, tensa barriers can be used.  These items are a standing post with interconnecting, extendable tape.  These are available in the Campus Center and the Moakley Center.
       
  • Walkie Talkies/2-Way Radios
      - Four walkie talkie/2-way radios are available from the Campus Center.  Program sponsors may arrange for the use of the radios through the Conference and Event Services office.  Program sponsors are responsible for picking up the radios from, and returning them to, the Campus Center office.  Radios will be fully charged when received by the sponsors.
