Community Involvement Award

Ms. Kelly Hess

External Affairs

 

Kelly has been involved in a variety of community service projects in her home town of Bridgewater and in Southeastern Massachusetts. Her involvement includes but is not limited too:
 

- Being involved in local public schools serving as a presenter and panel member for high school students enrolled in the Excel "Learning for Life" program at Bridgewater-Raynham Regional High School.
- Working with the B-R guidance department and "Excel" administrators as a resource for the at-risk students.
- She has also served as a member of panel discussions and mock interview teams as well as informal discussions on "How to Dress for Success."
 

Kelly's most recent accomplishment is her volunteer work with Birthday Wishes. She was introduced to this organization at BSU First Friday of Service event two or three years ago and her interest and involvement took off from there. Kelly has been involved with Birthday Wishes for a total of three years serving as a "Party Coordinator" for a homeless shelter in Fall River from 2008 -2010. She now serves as an active volunteer participating in many of the regional events.

This past January, Kelly organized a Bowling Fund Raising event in Hanover and gained the support of over 100 friends, families and neighbors to participate. Additionally, she was able to secure over 20 raffle prizes from local vendors and businesses including Celtics tickets and a gift card for accommodations at the Ritz Carlton in Boston. She was able to provide Birthday Wishes with a grand total of $2,600; the largest amount ever provided by an individual volunteer for this organization.

Kelly represents the university in a professional and caring manner. Her engagement in volunteer activities fits with the Bridgewater mission to serve as a life-long active citizen in our regional, national and global communities.

Facilities Management and Planning

 

In October 2009 this team started the process of implementing a new work order system with inventory management. This team coordinated the efforts of training from a paper system to an electronic system over a 4 - 5 month period. Prior to this there was no formal inventory system within the FMP operation. The team worked with a vendor to develop the inventory system all the while being mindful of our trades terminology and need for this to remain user friendly. Staff was trained in computer use and focus groups were set up where by prime users were brought into the new system first to get the bugs out. In June 2010 building maintenance of Res. life and housing became the responsibility of FMP. This group coordinated the efforts with Res. Life to transition repairs of all residence life buildings to our new work order system. This meant the creation of a new data base and the training of the Res. Life staff. Effectively, this team has implemented and trained a department to put a 1.2 million dollar budget on an electronic work order system. The data being driven provides us with an accurate accounting of expenditures for all buildings campus wide by trade vocation. The data provided will assist administration with many fiscal decisions that need to be made now and in the future.

This past winter season was exceptional in that 80 % of the snow events were major storms. This presents challenges within the operation to maintain safety campus wide. With budgets cut across the state our operation faced the same limited resources the municipalities faced. Even with this the crew maintained safe passage and access during and after every snow event. Many of these storms had students in residence. Special care was taken to provide movement to and from our dining facilities. Our walkways needed to be cleared quickly after a storm to allow for the movement of 11,000 plus students, faculty and staff throughout our campus footprint. There are very few witnesses to what occurs during a snow removal operation. Keith Macdonald stated that "Having been involved in this type of work for some 32 years this was an exceptional job well done by our staff."

BSU benefited by having its physical plant accessible in an expeditious manner immediately following all storm events. Our closures were kept to a minimum to ensure public safety to our community allowing this crew to "do it's thing". Work was performed 24 hours throughout storms to ensure a minimum of disruption to our core mission of educating our students.

Web Development

 

The Web Team has significantly improved and increased the efficiency of several work processes including a custom application for online transfer orientation, a banner ID look up tool, and a password reset tool. The online transfer orientation tool allows busy transfer students to gain the benefits of a web-based BSU orientation online 24/7. The transfer orientation tool has been very well-received by the user population. The banner id look up tool and the password reset tool allows students to self-serve 24/7. These online tools have greatly decreases the demands on busy support staff and are more convenient and efficient for students too.

The Web Team often assists other departments in their cost saving efforts, such as with the Registrar's recent transition to a web-only university catalog and creation of a Registration Central web site.

 In addition, Jeremy and Eric consistently look for ways to make processes more efficient. One concern identified was a need for more advanced web site training. As a result, the Web Team increased its face to face training sessions by 50% and upgraded its training materials. Concerned about web site errors as a result of all the recent name changes, the Web Team researched quality assurance tools. In February 2011, the team implemented Site improve, a quality assurance tool which helped decrease errors on the Bridgewater web site by 7% in one month. These improvements occurred despite the department's staff size reduction of 25%. The team's creativity, troubleshooting and technical ability make it a valuable institutional resource.
