Mail Services Offers Exciting Services Campus-wide

The Mail Services staff is pleased to offer some exciting services available to all departments on campus. By utilizing these services, the college will be able to save a considerable amount of money and as well as your time. The following are a few examples:

  • Our Documatch machines are capable of sorting your addresses, stuffing envelopes, and printing the envelopes, postcards, or flats in zip-code order to mail at discounted rates.
  • We can do mailings from 200 to over 30,000 pieces. To take advantage of these discounts, you must have a minimum of 200 pieces.
  • The Documachine will only tri-fold paper into envelopes, and will tab and or address the document after it is folded. Please keep in mind that it is not a tri-folding machine therefore it does not tri-fold stacks of paper.
  • We can also customize return addresses to your specifications.
  • Our letter machine can fold and stuff 1 insert and address envelopes at a rate of 400 pieces per hour.
  • A Business Reply envelope plus 2 inserts at a rate of 150 pieces per hour.
  • The flat machine can address flats and postcards at a rate of 1500 pieces per hour.

To take advantage of our wonderful new process, you need to provide Mail Services with the following:

  1. Address file in Excel Spreadsheet or CSV format (CSV is preferred – using Excel, choose “File; Save as” then select type CSV – comma deleted)
  2. Good, new #10 envelopes with traditional flap only for your mailing. (V-flaps and window envelopes are unacceptable; no creases or watermarks; old envelopes jam in the machine and cannot be stuffed)
  3. Inserts and Business Reply Envelopes. (If using Business Reply, please get envelopes from Mail Services prior to mailing in order to stamp the department return address on them)

Please remember that poor envelopes, wrong document formatting, numerous inserts and poor databases contribute to delaying the process. We recommend that you contact Mail Services before preparing your mailing to ensure that the database and materials are prepared according to Mail Services as well as US Postal Services specifications.

Keep in mind that jobs are processed on a first come, first served basis. Provide as much advance notice as possible so that your mailing can be processed in a timely manner.
