How The Process Works
Proposal Preparation Responsibilities
PI (Principal Investigator)
Be familiar with the state of research in the field; be aware of potential grant opportunities in field through conferences, journals, and colleagues.
Initiate communication with OGSP. If PI finds potential grant source, supply program guidelines/solicitation/RFP to OGSP. If OGSP sends notice of grant opportunity, PI reviews thoroughly to discern eligibility and appropriateness.
Coordinate meetings with collaborators, including OGSP staff as needed for information-sharing.
Consider IRB/IACUC requirements and submit application if necessary.
Write draft of proposal with OGSP assistance as needed. Communicate/coordinate with collaborators and obtain Scope of Work, letters of support, submission policies of collaborators, etc.
Incorporate OGSP revision suggestions, if accepted.
Create draft budget with OGSP support as needed outlining major expense categories. Identify project costs, personnel needed to complete project, and obtain price quotes.
Communicate about project and upcoming application and secure support from department Chair; may need to establish contact with other college departments for approvals involving hiring, course releases, travel, graduate student support, etc.
Write a brief (1-2 paragraphs) abstract and provide a near-final draft of the budget for routing/internal approval five days in advance of the deadline.
Make all needed changes 5 days before due date.
Remain informed about state, federal, and foundation funding trends and opportunities.
Distribute grant notices to targeted lists and conduct customized searches as requested. Serve as liaison to funders, set up conference calls, and research / solicit additional information from funder as needed.
For institutional proposals, convene meetings as requested; for individual research/service projects, attend meetings as requested.
Inform PI about concerns about compliance issues and process to follow for approval.
OGSP
If requested, prepare outline for proposal and needed attachments. Provide institutional information / narrative as requested. Supply templates for budgets and narratives as requested.
Review proposals and make suggestions regarding clarity, evidence, persuasiveness, and compliance with grant guidelines.
Provide information enabling PI to create final budget based on draft, supplying information needed for accuracy in budgeting personnel, travel, indirect charges, hospitality, etc., in compliance with funder requirements, BSC policies, and government regulations.
Initiate routing process and coordinate final approvals through routing process from Human Resources, Fiscal Affairs, and Facilities.
Route abstract and near-final budget with routing form to obtain required BSC approval signatures.
Maintain familiarity with electronic submission process (Grants.gov, NSF Fastlane, etc.). Submit proposals in hard copy, electronically, or as required, including proper number of copies, attachments, etc.
Maintain files for seven years or in compliance with agency guidelines; destroy as appropriate.
