COVID-19: Residence Life and Housing Medical Isolation and Quarantine Process

Student Medical Isolation – Move in

  1. Assistant Dean of Students and/or Director of Residence Life & Housing are notified of COVID positive case and notify responding staff member. 
    1. After hours, Assistant Dean and/or Director will contact Administrator on Call and Live in Staff on Call to provide necessary details
  2. Staff will confirm any identifying information needed to determine additional steps
    1. Where is the student’s home address?
    2. Do they have roommates and/or suitemates?
    3. What is the bathroom situation for the student within current living area?
  3. If determined the student needs to move to medical isolation on campus: student is assigned a room and conference card is obtained from the front office.
    1. Cards are housed in the RLH Conference Room. The box contains cards for each apartment. There is a roster available for reference as well. 
    2. It is imperative that assigning is done with consideration to available & clean spaces. The roster (link below) outlines available rooms in green. Every effort should be made for students to be separated. A preferred fill method would be room 1, 4, and 6 or room 2, 3 and 5 as they are on opposite sides of the hallway. 
  4. Staff member will make contact with the student and provide information on next steps. Items you must ensure the student knows are as follows:
    1. Need linens for beds.
    2. Pack enough clothing for 10-14 days.
    3. Have all electronics, plugs, and academic items/supplies.
    4. Towels/toiletries will be needed for the entirety of their stay. 
    5. Schedule time for move over. 
    6. Let them know that all access to their current assignment will be shut off and they will not be permitted to leave their temporary assignment until they hear from RLH with the move back information. 
  5. If the student should need a bin to bring items from current location to temporary location, staff member is to locate a bin to provide for the student. Once the student is done, the bin must be returned to the location it was taken from and sprayed with Virex or Quat mist spray afterward. Both cleaning products should be able to be found in the Bear Buckets provided for each office. 
  6. Staff member will fill out the Information While in Isolation document with Point of Contact information. 
  7. Staff member is to update the Isolation Roster with the following information:
    1. First Name, Last Name, Banner ID, permanent hall & room, & move in date
  8. Staff member will message via teams to Assistant Dean of Students and Director of Residence Life and Housing the assigned location for the student. 
  9. Staff member will meet student and provide keycard & printed copy of Information While in Isolation document.  Afterward, please also email the student an electronic copy. 
  10. Staff member will answer any questions and reiterate the following details:
    1. Meal details – when to call, how it’s delivered, etc. 
    2. Review the trash pick-up process
  11. Review the contact information and when to expect Point of Contact to reach out next. (If the on-call person assists with this process and is not the live-in staff member for this resident, then a “handoff” needs to occur the next day and the live-in staff member should outreach to keep tabs of the student.)
  12. Staff member will disable student connect card in CCURE
  13. Director of Residence Life & Housing will contact Facilities Management & Dining Services to provide information on student location. 
  14. Assistant Dean of Students will contact BSUPD with available information and update the Isolation Teams Chat.
 

Student Medical Isolation – Move out

  1. Assistant Dean of Students and/or Director of Residence Life & Housing are notified that student has been cleared to leave medical isolation and notify responding staff member.
  2. Staff member will contact student to discuss:
    1. Time to transition to permanent building
    2. Location to drop off conference card
  3. Staff member will reactivate students connect card in CCURE
  4. Staff member will message via teams to Assistant Dean of Students and Director of Residence Life and Housing that the student has successfully moved out of the space to their original assignment.
  5. Director of Residence Life & Housing will notify Facilities Management & Dining Services.
  6. Assistant Dean of Students will update BSUPD.
  7. Staff member will return the conferee card to RLH and file appropriately.
  8. Roster will be updated with the following information:
    1. Move out Date
    2. Date of FM cleaning - confirmed by FM (front office staff)

PLEASE NOTE: If a student is needing to isolate but chooses to go home/stay off campus, Live in Staff members should still reach out and connect with those students for check ins. 

 

Student Quarantine – Move in

  1. Assistant Dean of Students and/or Director of Residence Life & Housing are notified of student needing to quarantine on campus. Assistant Dean and/or Director will communicate with responding staff member
    1. After hours, Assistant Dean and/or Director will contact Administrator on Call and Live in Staff on call to provide available details. 
  2. Student is assigned a room and conference card is obtained from the front office
    1. Cards are housed in the RLH Conference room. The box is separated by floor and labeled. There is a roster available for reference. This roster also outlines assigned bathroom fixture by rooms. There should only be 1 person per suite/door. Look at rooms highlighted in GREEN only. 
    2. Assigning should be done carefully to ensure bathroom fixtures do not overlap and there are no more than 4 students assigned to any given bathroom. Available spaces are highlighted in green.
  3. Staff member will make contact with the student and provide information on next steps. Items that must be covered in this conversation include:
    1. Need linens for bed
    2. Pack enough clothes for 10-14 days. 
    3. Have all electronics, plugs and academic items/supplies
    4. Towels/toiletries will be needed for the entirety of their stay
    5. Schedule a time to meet the student for move over
  4. Staff member will fill out the Information While in Quarantine document with Point of Contact and bathroom fixture information. 
  5. Staff member is to update the Quarantine Roster with the following information:
    1. First Name, Last Name, Banner ID, permanent hall & room, and move in date. 
  6. Staff member will message via teams to Assistant Dean of Students & Director of Residence Life & Housing the assigned location for the student
  7. Staff member will meet student and provide keycard & printed copy of Information While in Quarantine document. Afterward, please also email the student an electronic copy.
  8. Staff member will answer any questions and provide/reiterate the following details: 
    1. Meal details – when to call, how it’s delivered, when it’s delivered, etc.
    2. How to dispose of trash via the trash chute and where it is located on the floor
    3. Shower cleaning schedule
    4. Students should only be leaving their room for the restroom and garbage disposal
    5. Directions on where restroom is located 
    6. Provide bathroom fixtures associated with student’s assigned room
  9. If the student should need a bin to bring items from current location to temporary location, staff member is to locate a bin to provide for the student.   3. Staff member will reactivate students connect card in CCURE. 
  4. Staff member will message via teams to Assistant Dean of Students and Director of Residence Life and Housing that the student has successfully moved out of the space to their original assignment.  
  5. Director of Residence Life & Housing will notify Facilities Management & Dining Services.
  6. Assistant Dean of Students will update BSUPD and Isolation Teams chat.
  7. Staff member will return the conferee card to RLH and file appropriately. 
  8. Roster will be updated with the following information:
    1. Move out Date
    2. Date of FM cleaning - confirmed by FM (front office staff)
